It usually does not tell me whether a business can support it.
Write down the model number, serial number, and the location where the product will run. The last one matters more than people think. A robot vacuum that is fine in a home office may be undersized for a hotel corridor.
2. Read the manual before you send the PO
Most people read manuals after the box arrives, and only when something goes wrong. I read them before I approve the order because a manual is a maintenance cost schedule. The quick-start section tells me how to set it up. The troubleshooting and maintenance sections tell me what will need attention.

I use the same test for robot vacuum purchases. If the team is asking for a Roomba because they want to reduce manual sweeping, the business conversation is about cleaning time, floor type, and who will handle the maintenance. A robot could reduce the task, but it introduces a new set of chores. More open space and a person who owns the maintenance routine means a better fit. A site with stairs and no local support will make any model look bad.
6. Write the total cost down before the purchase order
By total cost I mean purchase price plus setup, training, consumables, labor, code or key administration, downtime, and disposal. It is not a complicated formula. It is a habit. I use a one-page form for any product that becomes part of regular operations. If the item is a one-time supply, I do not need the full form. If it will run, lock a door, or make food for staff, I use it.
The conventional wisdom says to compare at least three quotes and choose the lowest price. That can work for identical commodity items. It fails when you skip the manual and the replacement parts check. A $150 price difference disappears after two service calls for a code change or one emergency part order.
I also put a review date on the form. After 90 days, check whether the product reduced the workload it was meant to reduce. After six months, compare the actual consumable cost to the estimate.
